SUMMARY
The Data Systems Specialist supports the organization’s research, evaluation, and operational data needs by managing data platforms—primarily Salesforce—and ensuring data integrity, usability, and accessibility across departments. This role is responsible for maintaining and improving data systems, supporting data collection processes, and training staff on data system usage. The ideal candidate is highly detail-oriented, tech-savvy, and committed to leveraging data for program improvement and impact measurement.
RESPONSIBILITIES
· Administer and maintain the organization’s Salesforce database and other data systems
· Create, update, and manage custom objects, fields, reports, dashboards, and workflows in Salesforce
· Collaborate with program staff to understand data needs and implement solutions within Salesforce or other tools
· Provide technical support and troubleshooting for users of Salesforce and related data platforms
· Develop and maintain documentation on data system processes, procedures, and standards
· Ensure data integrity through routine audits, deduplication, and quality control checks
· Train staff on data entry procedures, report generation, and system usage
· Assist with the design and implementation of data collection tools (e.g., surveys, forms) and integrate them into existing systems
· Support the Research and Evaluation team with data exports, data cleaning, and basic analysis to inform reporting and evaluation projects
· Work with IT or external consultants when necessary to implement system upgrades or enhancements
· Maintain confidentiality and security protocols for sensitive data
EDUCATION AND EXPERIENCE
· Bachelor’s degree in Information Systems, Data Management, Social Science, or a related field required
· Minimum 2 years of experience managing Salesforce or other CRM/database systems
· Experience in a nonprofit, social service, education, or research setting preferred
· Salesforce Administrator certification preferred (or willingness to obtain within 6 months of hire)
KNOWLEDGE, SKILLS, ABILITIES
· Proficiency in Salesforce administration, including object creation, page layout design, workflows, and reporting
· Strong technical troubleshooting skills and attention to detail
· Understanding of data governance, data quality, and database best practices
· Ability to translate programmatic needs into system configurations and solutions
· Familiarity with survey platforms and data integration tools (e.g., Formstack)
· Strong Excel skills (including formulas, pivot tables, data cleaning functions)
· Excellent verbal and written communication skills; ability to train and support non-technical users
· Strong organizational and time management skills; ability to manage multiple tasks and deadlines
· Commitment to the mission of using data to improve outcomes for single mothers and their children
